Privacy Policy

Koven (“Koven”, “we”, “us”) is a suite of business software — Koven CRM, Koven Sign, Koven Social and Koven Form — built and operated by Wilson Perry Real Estate Ltd, Christchurch, New Zealand. This policy explains what information we collect through the Koven suite, how we use it, and the choices you have.
Information we collect
Account information. When you or your organisation use Koven, we collect the information needed to create and secure your account, such as your name and email address.
Content you add. Koven stores the business data you enter to use the software — for example property listings, contacts and leads, appraisals, signed documents, form submissions, and draft or published social posts.
Connected accounts. If you choose to connect a third-party account (for example a Facebook Page, Instagram Business account, LinkedIn Page, or Google Business Profile) so that Koven Social can publish on your behalf, we access only the information and permissions that platform grants for that purpose — such as your Page or listing identifiers, and the ability to publish posts you create in Koven. We do not access your personal social media feed, messages, or connections.
How we use Google user data (Limited Use)
Where Koven accesses Google user data through the Google Business Profile API (for example, to publish posts to a Business Profile you manage), our use and transfer of that information adheres to the Google API Services User Data Policy, including the Limited Use requirements. We only use Google user data to provide or improve the specific feature you enabled it for — publishing your own content to your own Business Profile — and never to serve advertisements, and we never sell it.
How we use your information
We use the information above solely to operate and improve the Koven suite: to provide the features you use, to keep your account secure, to publish content to platforms you have explicitly connected, and to respond when you contact us. We do not sell your information, and we do not use it for third-party advertising.
Sharing
We share information only: with the third-party platforms you explicitly connect (and only the data needed to publish the content you create); with infrastructure providers that host and run Koven on our behalf, under confidentiality obligations; or where required by law.
Data retention and deletion
We retain your information for as long as your account is active, or as needed to provide the service. You can request deletion of your account and associated data, or disconnect a third-party platform at any time, by contacting us at the address below.
Security
We use industry-standard safeguards to protect your information, including encryption in transit and access controls on our infrastructure. No system is completely secure, and we encourage you to use a strong, unique password on your account.
Children’s privacy
Koven is business software and is not directed at, or knowingly used by, children.
Changes to this policy
We may update this policy from time to time. If we make material changes, we will update the date above and, where appropriate, notify account holders directly.
